Summary:
The Director of Administration will be responsible for ensuring all administrative processes, procedures, and operations take place in a timely, efficient, and quality manner by all team members under the Administrative branch of SERVPRO Team Wall.
This role plays a crucial role in ensuring efficient operations, managing resources, and supporting the overall success of the organization.
The ultimate goal of the Director of Administration is to ensure not only the success of the business divisions they oversee (Intake, Mitigation Administrative, and Construction Administrative), but also of the individuals that comprise these business divisions.
Phenomenal customer service experiences and top-notch teamwork and communication will be the benchmarks of success for the Director of Administration.
The Director of Administration will be responsible for leading, coaching, and growing the knowledge, skills, and career growth of the leadership team members they directly oversee, but also will be influential in doing the same for all team members in the Administrative division of SERVPRO Team Wall.
The KPM results of the business divisions they manage will be a key performance indicator showing the effectiveness and success of the Director of Administration.
Strong leadership and communication skills will be needed to succeed in this role.
Travel to each SERVPRO Team Wall office once a month will be an expected and needed aspect of this role.
Major Duties and
Responsibilities:
Work-In-Progress Meetings:
Attend morning WIP meetings to keep up to date with actively produced jobs and ensure the roles and responsibilities of the Intake Team and Mitigation Administrative Team are being upheld and carried out.
Monitor Key Custom Dashboards:
Keep an eye on key custom dashboards to ensure SOP's and technology knowledge is mastered, understood, embraced, and kept accountable to by the Administrative Department Managers and Team Members.
Perform Audit Checks:
Perform key spot checks or audits to ensure job files include all necessary timestamps, documents, correspondence notes, and role assignments that are needed for the progress status where the job file lies in the process.
Collaborate with Quality Analysts to develop coaching methods for estimators.
Perform Customer Service Checks on Intake Calls:
Perform listen checks on randomly selected intake calls to understand SERVPRO Team Wall's customer experience landscape and develop ways to train and continuously improve the Intake Team's ability to create a phenomenal and supportive customer service experience.
Production Crew Documentation Compliance:
Review the weekly production scorecards and work with Production Leadership to help troubleshoot, train, and proactively create complete, accurate, and thorough production documentation for each job file.
Monitor billing accuracy and compliance.
High Standard of Customer Service:
Monitor communication with customers and internal team members to ensure the Project Analysts and Quality Control Analyst are providing a high level of customer service, positive attitude, and acting as a force multiplier to their peers and team members.
Monthly visits to all four Team Wall offices.
Monthly Administrative Management Meeting:
The Director of Administration should lead a monthly Administrative Management Team Meeting with the Intake Operations Manager, Construction Administrative Manager, and the Mitigation Administrative Manager to make sure all departmental efforts are being carried out effectively, company updates are distributed and discussed, education is conducted, troubleshooting and task management addressed, leadership skills are developed, and team building takes place.
Leadership development should always be included in these meetings.
Bi-Weekly Payroll Review and Approvals:
Review and approve payroll for all direct reports during payroll weeks (occurs every other Wednesday morning).
Approve or deny PTO requests of direct reports in a timely manner.
Monthly Budget Updates and Reporting:
The Director of Administration is responsible for maintaining and updating the budget versus actual report for all Administrative Expenses across all SERVPRO Team Wall Offices.
The Director of Administration will be utilizing both the Credit Card Expense Reporting System and the Accounts Payable system to compile and maintain the 'Actual' Expenses each month.
Inventory Management:
The Director of Administration will be responsible for creating inventory tracking methods, process/procedure, and correlating controls for both uniform and office supply inventories.
The Director of Administration should appoint an 'Inventory Lead' for each local office and work with this team member to make sure inventory counts are accurate, purchase dollars to budget are in line, and purchasing is happening in a timely and cost-effective manner.
Employee Performance Review Meetings:
The Director of Administration is responsible for completing mid-year and end-of-year review documents and meetings with their direct reports.
This position should also be reviewing performance reviews completed for team members directly under the Director of Administrations direct reports.
This will be to ensure the same standards are set across the board and known issues/successes are documented within the reviews.

Estimated Salary: $20 to $28 per hour based on qualifications.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
